Office Manager Position

Big Steve Music is an incorporated entertainment service company offering live musician performances, studio recordings and production, composer facilities and equipment and venue availability for rehearsals and events as well as green screens for podcasts and other media.

 

Position available

We have 1 opening for a full time permanent Office Manager.  The Office Manager is responsible for managing the daily administration and bookkeeping for the corporation.

 

Duties

Daily administration of booking/scheduling performances, services and facilities and responding to client inquiries.

On-site preparation of the facility for scheduled bookings and events, including setting up and testing/plugging in music equipment such as speakers, amps, lighting, microphones, projector, green screen and backdrops. Keeping the hospitality area stocked with coffee, condiments, snacks and clean dishes for clients. Keeping the washrooms, stage and inside areas clean and maintained (such as replacing light bulbs, restocking hygiene products in the washrooms, etc.).

Logging and sending out equipment for repairs needed and coordinate pick up.

Greeting clients on-site and directing them to parking, washrooms, the beverage station and responding to their requests for cellphone chargers, printing requirements, etc.

Updating the website and social media by adding new pictures, video performances and announcements. Responding to enquiries left on social media.

Completing and submitting Grant and Award applications such as for the Juno Awards and the Factor Grant.

Daily bookkeeping including bank deposits and reconciliations, accounts payable,  invoicing, accounts receivable and tax filings. Coordinating with our tax accountant as needed. Ordering office supplies as needed.

Coordinate travel itineraries and maintain booking requirements including P2 Visas for U.S. bookings.

Hours

Monday to Friday 9:00am-5:30pm (includes 2 paid 15 minute breaks and an unpaid 30 minute lunch break). 40 hour work week.

Flexibility to work on a weekend when an event is scheduled would occasionally be needed and the employee would be given a minimum of 30 days notice for scheduling purposes.

Pay

$22.00 per hour plus 4% vacation pay paid on each paycheque.

Pay period is every 2 weeks on a Friday, paid by cheque.

 

Requirements

Knowledge of QuickBooks Online Accounting is essential with a minimum of 1 year experience including bank reconciliation, accounts payable and accounts receivable. Experience in corporate accounting such as completing (with final assistance of our accountant) corporate tax filings such as HST, Payroll and the T2 tax return is an asset.

Driver’s license and access to a vehicle is an asset.

Minimum 2 years of office experience is required, either in bookkeeping, administration or customer service.

English must be your first language or excellent written and verbal English skills.

References required.
